Find tenant only service 9.6% Incl VAT (8% plus VAT.) (based on a 12-month tenancy term)

• Market Appraisal - Assess your property, advice on potential rental value, suggest areas of improvement to maximise income, agree on marketing strategy.
• Provide guidance on compliance with statutory provisions and lettings consents.
• Advice on non-resident tax status and HMRC (if relevant)
• Arrange EPC if necessary (funds must be provided).
• Produce high quality, bespoke marketing brochure, designed to suit your property.
• Advertise and promote your property, using recognised marketing methods that include relevant property portals, the local newspaper, ‘to let’ boards, window display, established database of applicants actively seeking rental accommodation, corporate clients & relocation agents.
• Qualify prospective tenants & carry out accompanied viewings.
• Arrange inventory & check-in appointments.
• Provide tenant with method of payment.
• Receive and remit the initial months’ rent.
• Deduct any pre-tenancy invoices.
• Make any HMRC deduction and provide the tenant with NRL8 (if relevant).
• Advise all relevant utility providers of any changes.
• Agree on the collection of any shortfall and payment method

Rent collection service

12% incl VAT (10% plus VAT) Find tenant only plus:- 

• Notify council of changes in residency.
• Collect rent throughout tenancy & enforce payments.
• Produce monthly/quarterly and final transparent statements.
• Chase late or non-payment of rent. Refer to a collections agency if required.
• Landlord’s advice line.
• Arrangement payments for statutory requirements.
• At the end of the tenancy. Arrange to check out, agree date and time for the tenant to ‘check out’, instruct inventory provider to attend.

Fully management service 

15% incl VAT (12.5% plus VAT) Rent collection plus:- 

• 24/7 Property Care / Management
• Periodic inspections, inspect & record the condition of the property.
• Hold keys throughout the tenancy term.
• Arrange and oversee routine and non-routine maintenance and repairs, liaise with tenants/approved contractors.
• Ensure work has been carried out in accordance with the specification of any works.
• Retain any warranty or guarantee as a result of any works.
• Arrange payment of contractor invoices.
• Advice on legislative changes and arrange necessary works.
• At the end of the tenancy negotiate disbursement of security deposit & manage any unavoidable disputes.
• Return deposit as agreed with landlord and tenant to relevant parties.
• If applicable, Remit any disputed amount to TDS for final adjudication.
• Unprotect security deposit.
• Instruct contractors; obtain quotes; organise repairs/replacement/cost of any broken or missing items.

Pre-Tenancy Fees

Referencing for up to two tenants (ID checks, Right-to-Rent check, financial credit checks, obtaining references from employers/landlords, contract negotiation, and arranging signing of the tenancy agreement).

• • Sanction and AML Check: £5.00 Ex. VAT / £6.00 Inc. VAT per individual check on a tenant or landlord.

• • Additional Tenant / Guarantor Referencing Fees: £62.50 Ex. VAT / £75.00 Inc. VAT

• • Administration of Rental Guarantee & Legal Expenses Insurance: £41.67 Ex. VAT / £50.00 Inc. VAT

• • Deposit Registration Fees: £20.83 Ex. VAT / £25.00 Inc. VAT

Register landlord and tenant details, protect the deposit with a Government-authorised Scheme, and issue the Prescribed Information within 30 days of the tenancy start date.

• • Inventory Fees: See separate schedule – dependent on the number of bedrooms and/or size of the property and any outbuildings.

During Tenancy Fees

Review rent in line with market conditions, provide supporting evidence for any proposed increase, negotiate with tenants, and serve a Section 13 Notice as required under a periodic tenancy.

• • Additional Property Inspection: £50.00 Ex. VAT / £60.00 Inc. VAT

To attend for specific requests, such as neighbour disputes or maintenance-linked visits.

Financial Charges

• • Overseas Landlord’s Quarterly HMRC Returns: £50.00 Ex. VAT / £60.00 Inc. VAT per quarter

To remit and balance financial returns to HMRC and respond to any related queries.

• • Annual Income & Expenditure Schedule: £50.00 Ex. VAT / £60.00 Inc. VAT

• • Project Management of Major Refurbishment/Renovation Work: 10% Ex. VAT / 12% Inc. VAT of contract value

For works over £10,000, including specification, oversight, and snagging inspection.

For attending when keys cannot be released to contractors or surveyors.

To cover costs associated with taking over an ongoing tenancy and ensuring compliance.

Where Collinson Hall has progressed the letting of a property – including negotiating offers, referencing prospective tenants, drafting or preparing tenancy documentation, or otherwise progressing the tenancy – and the landlord subsequently lets the property through another agent or withdraws a withdrawal fee shall apply in addition to marketing and set-up fee (below).

• • Marketing & Set-up Fee: £291.67 Ex. VAT / £350.00 Inc. VAT

Where Collinson Hall has commenced marketing a property – including instructing professional photography, preparing marketing materials, publishing online listings – and the landlord subsequently lets through another agent or withdraws, this fee applies.

• • Penalty Fee (Circumvention of Agent): If a tenant introduced by Collinson Hall enters into a tenancy directly with the landlord, bypassing Collinson Hall, the landlord shall pay a penalty fee equal to the full commission and fees that would have been payable had the tenancy been arranged through Collinson Hall. This applies whether intentional or inadvertent.
